Who we are

Modtra Roofing Ltd (“Modtra Roofing”, “we”, “us”) is a roofing company based in Ringwood, Hampshire, registered in England and Wales under company number 17346572. We are the data controller for the personal information described in this policy.

What information we collect

When you send an enquiry through our website, we collect:

• your name and phone number
• your email address, town or postcode, the type of job and your preferred contact method, if you choose to give them
• any details you write about your roof or the job
• any photos you choose to upload

If you call, email or message us directly, we collect the details you share in that conversation. If you become a customer, we also keep the information needed to quote, carry out and invoice the work, such as your address and the details of the job.

When you send an enquiry, our website also briefly processes your IP address to limit spam submissions. This is not stored with your enquiry.

How we use your information

We use your information to:

• respond to your enquiry and arrange a visit or quote
• carry out, manage and invoice any work you ask us to do
• provide any guarantees that apply to your work
• keep the records we are required to keep by law, such as accounting and tax records

We do not sell your information, and we do not use it for marketing unless you have asked us to.

Our lawful basis

We use your information because it is necessary to take steps at your request before entering into a contract with you (for example, giving you a quote), and to perform that contract if you go ahead. Where we keep records for tax or accounting purposes, we do so to meet our legal obligations. We may also rely on our legitimate interests to run our business, such as keeping our website free from spam.

Photos you upload

Photos sent with an enquiry are stored securely in private storage. They are only shared with us through private links that expire after seven days, and are used only to assess your roof and the work needed.

Who we share your information with

We only share your information where we need to, with:

• the companies that host our website and handle its email and file storage, who process it on our behalf and only on our instructions
• suppliers or subcontractors working on your job, where they need your details to do so
• our accountant, and HMRC or other authorities where the law requires it

How long we keep your information

If your enquiry does not lead to work, we keep your details and any photos for up to 12 months, in case you come back to us, and then delete them. If we carry out work for you, we keep your records for up to 6 years after the job is finished, to meet our tax obligations and support any guarantee claim. Guarantee records may be kept for the length of the guarantee.

Cookies and Google Maps

Our website does not use cookies for advertising or analytics. Our pages include maps provided by Google Maps. When a map loads, Google may collect information such as your IP address and set its own cookies. Google’s use of this information is covered by Google’s privacy policy (https://policies.google.com/privacy).

Your rights

You have the right to:

• ask for a copy of the information we hold about you
• ask us to correct information that is wrong
• ask us to delete your information, where we no longer need to keep it
• object to or ask us to restrict how we use your information
• ask us to transfer your information to someone else

To use any of these rights, contact us using the details above. We will respond within one month.

If you’re unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
